A robot carries out due diligence on partners for withholding tax (WHT)
A robot gathers partner data from the ERP and public sources on its own and prepares a final report with evidence.

The starting point
Before applying a reduced withholding tax (WHT) rate or an exemption, a Polish payer must carry out due diligence. This applies, for example, to dividends, interest or licence fees, mostly paid to foreign partners. A 2019 amendment explicitly confirmed the obligation.
Checking contacts, registered office, financial statements, ownership structure, business activity, bank account and tax ID by hand is slow and error-prone.
The solution
- The robot loads the list of partners to check and downloads basic data from Merit ERP.
- On a business information agency's portal, it downloads two PDF reports and extracts their data into Excel.
- It checks Street View, Google Search, IBAN Checker and VIES and collects the evidence.
- It sends an internal form to an employee and an external form to the partner, then compiles a final report with the supporting documents.
The result
- A person only prepares the input file and reviews the final report. The robot is started manually, as the customer wanted.
- The robot's logs show what ran and when.
Documents from email to ERP with no human input
A robot reads documents from email and enters them in the ERP. Rekeying errors are gone and documents move through the company faster.
Supplier invoices go from email into the accounts on their own, twice a day
Twice a day, a robot goes through the invoice mailbox and creates each invoice in the accounting software as a provisionally entered document.
A robot checks delivery schedules from email, giving the planner a third of his capacity back
Twice a day, a robot extracts delivery schedules from PDFs, checks the orders in the ERP and sends a report to planning.
