How we work together, from analysis to go-live
Every project starts with an analysis of your process, and after each phase you decide whether we continue. From signing to go-live takes about five weeks, and we watch operations closely for the first 30 days after launch.
Five weeks from signing to go-live
We start by analysing your process, which we walk through together step by step. From that we prepare documentation with the exact scope and price of development. Only after you approve it do you get a binding quote, and after each phase you decide whether we continue. From signing to go-live takes about five weeks, and we watch operations closely for the first 30 days after launch.

Eight phases from first contact to working automation
Pre-analysis
Free online callAn intro meeting where we go through 2 to 3 processes you’d like to automate. Tell us in plain language what you do and how, what slows you down and where errors creep in.
Business case and validation
Costing and savings estimateWe check whether the processes from the pre-analysis can be automated, and work out annual savings, payback and feasibility. You also see the upfront investment and the annual running costs.
Process analysis
Paid phaseIf the numbers make sense and you decide to go ahead, we map the process in detail, step by step. You get a document with diagrams, exceptions and rules, and we define inputs, outputs and dependencies.
Project start
Kick-offWe formally start the project: assemble the team, set up communication, access and the schedule, and agree milestones and acceptance criteria.
Development and testing
In stages, with demosWe build the automation in stages. We test it on real data as we go, fine-tune the exceptions and show you progress regularly.
User acceptance
Testing in your environmentYour team tries the automation in an environment close to live. We check it meets every requirement and fix any deviations straight away.
Deployment and hypercare
The first 30 daysWe move the automation into live operation. For the first 30 days we monitor it closely, handle unusual cases and tune performance.
Closure and support
Handover and SLAWe formally hand over the project and sign the acceptance protocol. We set up ongoing monitoring and support, and compare actual savings with the business case.
Frequently asked questions about process automation and AI
We never use customer data to train general models or models for other customers.
What is robotic process automation and what is it good for?
Robotic process automation (RPA) is software that repeats the work a person does on a computer: it opens applications, copies data across and clicks wherever it needs to. It suits rule-based tasks that keep coming back, such as processing invoices, orders or bank statements.
How is a standard robot different from an AI agent?
A robot does exactly what you tell it to. An AI agent understands the content, so it can handle documents without a fixed template, emails and non-standard cases. In practice we combine the two: AI reads and assesses the document, and the robot enters the result into your system.
Do we need to change our systems to automate?
No. The robot works in the same applications as your people: your ERP, email, Excel and web portals. It works even where a system has no integration interface.
Will the robot replace our employees?
No. The robot takes over tedious data entry, and your people get time for the work you hired them to do, and for the things there was never time for. Exceptions and decisions stay with people, and everything the robot does is logged.
What if the robot isn’t sure?
It doesn’t guess. It stops, shows exactly where it got stuck, and a person decides. That makes it suitable even for invoices, payments and technical documentation.
How much does automation cost?
It depends on the process. The price is made up of analysis, development and the robot licence. The licence is shared across every process the robot handles, so each additional process costs less. You get an exact price after the analysis, before development starts.
Where do the data and the AI run?
Wherever you need: in an EU cloud, in the cloud with personal data masked, or entirely on your own hardware, where the data never leaves your network.
How long does deployment take?
You get a first proposal within a few days, and it takes about five weeks from signing to go-live. You can start with a single process.
